The Project Administrator Woolgrower Services is responsible for assisting the GM Woolgrower Services and wider team with the administration of key projects associated with the Woolgrower Services portfolio.



  • Responsible for the effective administrative processes for the management of AWI funded projects and proposals associated with the team including:
    • Maintain project information (including IP, contracts & variations)
    • Invoice processing (SAP & TRIM)
    • Monitoring and reporting on Project & Operational budgets
  • Develop and maintain monthly and annual administration planner to ensure all invoices, contracts, purchase orders and related administration is successfully actioned within set time frames;
  • Provide timely and accurate information to the team on program and project data, and assist with the interpretation of that information;
  • Draft legal documents, including project contracts, consultancies, non-disclosure agreements and purchase orders; this will involve liaison with suppliers & service providers as well as the AWI Contracts & IP team;
  • Liaise with commercial partners to ensure their obligations to AWI are being met;
  • Collate monthly reports which may be required, including Board and Program Achievement Reports;
  • Notifying team members on their outstanding commitments
  • Maintaining accurate budget reports and providing support for project reporting requirements;
  • Assisting in preparing for End of Financial Year and starting the new Financial Year;
  • Preparation of Woolgrower Services input and materials for stakeholder presentations, Annual Report and Media/PR opportunities;
  • Assist with overseas visitors and delegations by managing logistics for international and domestic travel by organising itineraries, flights, accommodation, visas, etc;
  • Liaise with AWI staff from other programs and departments to enlist their assistance with relevant projects;
  • Organise fortnightly team meetings
  • Any adhoc administrative duties as required



Formal training/qualification

  • Qualification and/or experience in business administration

Technical Knowledge

  • Good knowledge of MS Office suite of products
  • Knowledge/background in the Australian livestock or sheep industry would be an advantage
  • Project/Event Management
  • Experience using SAP would be an advantage

Work Experience

  • 5 years’ experience in business administration, project support or similar role
